Use a room-by-room method

Walk each room with video, then take still photographs of furniture, electronics, art, appliances, tools, stored items, and closets. Capture model and serial numbers for major equipment and keep receipts or appraisals for higher-value property.

Include the house itself

  • ✓

Roof age and recent permits or inspections.

  • ✓

HVAC, water heater, electrical panels, pool equipment, generator, and appliances.

  • ✓

Cabinetry, flooring, windows, doors, shutters, lanai and pool cage.

  • ✓

Renovation contracts, change orders, invoices, warranties, and completion photographs.

  • ✓

Exterior condition, landscaping, drainage, and detached structures.

Store and update the record

Keep a copy away from the property in secure cloud storage or another protected location. Update it after major purchases, repairs, renovations, or policy renewals. A local inspection report can document ongoing condition, but it should complement—not replace—the owner's full inventory.
